Policies
1. RESERVATIONS
All reservations shall be made in writing by fax or e-mail through the Reservations Office. Cancellation of such reservations shall be subject to the relevant cancellation penalties contained herein. In case of group reservations, full Rooming Lists and group details shall be provided to the reservations office 30 days prior to the date of arrival.
2. PAYMENT
Fancourt reserves the right to cancel and/or amend any reservation in the event of failure to comply with the terms of payment and Fancourt shall not be liable for any loss or consequential loss resulting from such cancellation or amendment.
Individuals – Full payment must be received no less than 14 days prior to the date of arrival. In the event of a reservation being made less than 14 days prior to arrival, full payment must be received no later than 7 days prior to the date of arrival.
A 25% deposit on all pre-booked services shall become due and owing on confirmation of reservations.
A further 50% deposit on all pre-booked services shall become due and owing three months prior to the date of arrival. The balance of all pre-booked services shall become due and owing 30 days prior to the date of arrival.

5. CHILD POLICY
Fancourt shall allow a maximum of two children up to the age of 12 years to share with two full paying adults in a One Bedroom Suite at no additional cost (including breakfast at La Cantina only). A sleeper couch, extra bed or cot shall be made available in either the bedroom or lounge.
For 3 children or any child from 13 – 16 years, an additional room will be required

Health & Beauty
No children under 18 years old are permitted in the Fancourt Hot Spa and Roman Bath & Jacuzzi.
Fancourt Gymnasium
Children 14 years and over may use the Fancourt Gym without adult supervision. Children 12 – 13 years require adult supervision in the Fancourt Gym. No children under the age of 12 years are allowed in the Fancourt Gym.
Kids Club
All children making use do the Kids club need to be signed in by a parent or adult guardian. If the child is younger than 3 years old a nanny must accompany the child, or Kids Club will arrange a nanny at an additional cost.
Business Centre
Children under the age of 16 years old require adult supervision in the Business Centre.
Manor House and Henry White’s
No children under 16 years old are permitted at The Manor House. As Henry White’s is a classic dining venue, we do not recommend this dinner venue for children.
Golf Carts
Children are not permitted to drive a golf cart unless they carry a valid driver’s license, or if in the case of children 18 years and older they have been declared competent by a person who is authorized to do so.
6. PRE-BOOKINGS FOR GOLF/SPA/DINNER
At no time are we able to guarantee any reservations for golf, spa or dinner unless they are booked prior to the arrival. We urge all guests to book their tee off times, spa slots and dinner reservations well in advance in order to avoid disappointment on arrival. This applies to all our guests traveling throughout the year as our facilities are very popular with our members, their guests and the local community. We would prefer to cater for our hotel guests first, but cannot turn away other guests if no bookings have been made prior to arrival.

7. CANCELLATIONS
No cancellations will be valid unless received in writing by the Reservations Office. The following penalties shall be payable upon cancellation of reservations:
Individual Cancellations:
• 10% of the quoted tariff where cancellation is received less than 45 days prior to arrival date.
• 50% of the quoted tariff where cancellation is received less than 14 days prior to arrival date.
• 85% of the quoted tariff where cancellation is received less than 48 hours prior to arrival date.
Group Cancellations:
• 30% of the quoted group tariff where cancellation is received between 60 & 45 days prior to arrival date
• 50% of the quoted group tariff where cancellation is received between 55 & 30 days prior to arrival date
• 85% of the quoted group tariff where cancellation is received 29 days or less prior to arrival date
• Applies to all bookings of 10 rooms or more at Fancourt.
The above cancellation penalties shall also apply in the event of a reduction in room/delegate numbers. For groups of 61 rooms or more, Fancourt reserves the right to institute special cancellation terms.
8. COMPLIMENTARY POLICY
For every 11 rooms booked, the 12th room will be on a Complimentary bed & breakfast basis. A maximum of 2 complimentary rooms per group shall be allowed.

11. Fancourt cannot guarantee availability in our restaurants, golf courses or in the health spa. We therefore strongly recommend that reservations for all services be made prior to arrival, to avoid disappointment.
Please note, it is not practically possible to follow up to ensure all clients make reservations in advance.
12. Where any of these conditions change, any party thereto will have to be notified (and possibly a new contract entered into)
